Terms & Conditions:

Circuit discounts are exclusively applicable to game package and full board rates.
These discounts cannot be combined with any other special offer.
To qualify for a discount, guests must stay a minimum of 4 nights across a combination of 2 properties.
The applicable discount for stays meeting the above criteria is 5%.

Payment Terms

• Bookings will only be confirmed upon receipt of a 20% refundable deposit.
• The full balance of the payment is required 35 days before the client's arrival.
• A confirmation voucher will be issued only upon receipt of 100% payment of the booking.
• Hidden Retreats Group may, at its discretion, not honor a booking if payment has not been received within 35 days from the arrival date.
• In the event of an increase in taxes, levies, statutory charges, or any other input costs, we reserve the right to make amendments to the rates accordingly.
• Game Reserve fees and national park fees are correct at the time of print.

Cancellation, Amendment and Reduction in Number Policy

• 10% Deposit is non-refundable
• Between 90 and 46 days prior to the date of stay 20% of the total cost will be charged.
• Between 45 and 29 days prior to the date of stay 50% of the total cost will be charged.
• Between 28 days and a no show, 100% of the total cost will be charged.

Insurance

Hidden Retreats Group recommends that all agents and/or guests ensure that full travel and medical insurance has been taken out by that guest or on behalf of the guest. If the guest chooses to go on a tour without taking out full travel and medical insurance, Hidden Retreats Group, its employees and agents will not be held responsible for any liability arising out of any cancellation or rebooking or any incident or injury arising during that tour.

Luggage

Please keep your luggage light – duffel bags are preferable. Luggage is limited to 15kg per person on internal flights.

Non Residents

Proof of residency is required upon booking confirmation and at check-in, otherwise Non-Resident rates shall apply.

Rates

• All rates are inclusive of VAT, government levies & service charge.
• The rates are subject to change without notice.
• The Rates are per person per night unless specified otherwise.
• Usage of the rates in this agreement automatically signifies acceptance by the tour operator of the booking terms and conditions as stated.

Variation

Hidden Retreats Group reserves the right to revise or alter the terms and conditions, at its sole discretion, in the event of any unforeseen changes in rates offered by third-party suppliers and/or in government taxes, government levies, park fees, camping fees, concession fees and conservancy fees.

Vaccinations and Travel Documents

Agents must ensure that their clients have obtained all necessary visas for travel and have obtained any recommended vaccinations or prescription drugs for the chosen country/countries of travel.

Confidentiality

The agent confirms and agrees that the contents of this agreement are strictly confidential to the undersigned and that no part of this agreement in any form may be divulged to a third party.

Agent Responsibility

By confirming a booking with Hidden Retreats Group, the agent takes full responsibility for the booking whether financial or otherwise on any other guest's behalf and confirms that the information provided to the rest of their party and to Hidden Retreats Group is true, accurate and complete.

Force Majeure

We will not be liable to the agent or its client for any act of God or force majeure that disrupts a client(s) itinerary, any planned activities or experience at or between any of the properties, even if this results in inability to deliver the contracted service.

3rd Party Services and Activities

Where there are third party services whose terms dictate additional deposits, full payment up front or balance payment earlier than 60 days to arrival, the services are subject to change without prior notice.

Refunds

Hidden Retreats Group uses its best endeavors to ensure that all anticipated accommodation is available as planned. There shall be no claim whatsoever against Hidden Retreats Group for a refund either in whole or part, if any accommodation or activity is unavailable, or the guest was unable to use this service.

Minimum Stay

2 Nights for all properties in the Peak Season
Whilst Hidden Retreats Group (all properties and Experiences) will adhere to rates on behalf of our portfolio properties and experiences, partner properties, conservancies, game reserves, parks and any other services, we do reserve the right to change rates without any prior notice. The agent shall, at their own discretion, add on their commission to these preferential rates. These rates DO NOT include any agent commissions.
